Below are some of the common questions we expect you may have as a speaker for a Live Session. There are two sections: an index to the questions and the set of questions with answers. In the index, you can click on a question to jump to its entry in the section with the answers.
The questions fall into the following categories (click on the name to jump to that section of the index):
Q. | What will be the format of the live sessions for the IAJGS 2020 Virtual Conference?
A. |
The live sessions will include webinars, panel discussions, interviews, and game shows. |
Q. | How will each live session be structured?
A. |
Each session will have one or two moderators assigned to housekeeping tasks, including timekeeping and Q&A moderating. Each session will also have an eShow technical person assigned to make sure everyone can get in the room, mute the audience, and make sure that everything is running smoothly. In terms of recommended format, in general, we recommend 45 minutes of presentation followed by 15 minutes of interactive Q&A with the audience. |
Q. | Will the presenter’s image appear on screen even if slides or share-screen options are being used?
A. |
Yes. We understand that there will be an inset image of the primary speaker. |
Q. | Can more than one person/computer screen be designated for spotlighting or “pinning” to the screen?
A. |
Our understanding is that yes, multiple presenters can be pinned to the screen. This will be controlled by the moderator of the session. |
Q. | Is there a limit on how many presenter windows can be designated in a session, and can multiple presenters be visible on the screen at once?
A. |
Yes, multiple presenters can be designated for appearing on the screen at once. The total number of windows is limited to nine (9), with up to six (6) designated as “presenter” and three (3) more designated as “audience”. |
Q. | What does it mean that a window is designated as “audience”?
A. |
TBD |
Q. | Can the speakers view the attendees?
A. |
Yes. |
Q. | Can the live session speakers use a virtual background?
A. |
Yes. BigMarker.com provides virtual background choices, or speakers can upload their own virtual background. |
Q. | Can a virtual timeclock be used to keep the session speaker aware of the amount of time left in the session?
A. |
Our understanding is that no, BigMarker.com does not handle time-keeping functions at this time. |
Q. | What ADA (American Disabiities Act) compliance is available through BigMarker.com and eShow for the deaf and hard of hearing?
A. |
There is some possibility of using a Chrome extension when the attendee enters the conference using the Chrome browser. Details are not yet known. |
Q. | What speaker training will be provided by the conference for the live sessions?
A. |
TBD |
Q. | Will there be an opportunity for meeting the moderators or other panelists prior to the live session?
A. |
Yes. We recommend that the presenters, panelists, and moderators meet using either Skype or Zoom in advance of the session to get acquainted and to practice. |
Q. | Will there be “dry runs” of the live sessions with the presenters and the moderators for these sessions before the conference?
A. |
Yes. Our plan is still developing, and we expect a “playground” to be available for training and dry runs. Meantime, and because of the short time frame, our recommendation is that teams meet on Zoom or Skype to discuss their sessions and get used to working together, even before we have access to the conference software. |
Q. | How will Questions & Answers be handled?
A. |
Questions & Answers will be handled via a chat-room dialog box where the attendee can type in questions that can be aggregated, edited, and presented to the speaker during the appointed time during the session. |
Q. | Can conference attendees submit questions in advance of the live session?
A. |
TBD — We are investigating using a pre-established chat room to gather advance questions that could be managed by a volunteer and communicated to the moderator of a live session prior to the session’s scheduled time. |
Q. | Can the presenter “seed” the audience questions by pre-submitting a few questions to get the conversation going in the event that no one submits questions during the presentation?
A. |
Yes. And we are working on a suggestion for how best to do that. |
Q. | Will the audience be able to unmute and speak their questions?
A. |
Yes. However, the focus will be on the questions submitted via chat room and presented by the session moderator, and the moderator will be controlling who is muted and unmuted. |
Q. | Can the speakers choose their own moderator(s)?
A. |
Yes. |
Q. | Can the moderator introduce the session speakers?
A. |
Yes. |
Q. | Will the moderator/introducer set the tone of the session by reading some standard instructions to the audience before the session begins?
A. |
TBD |
Q. | Can speakers upload handouts, and if so, how many pages and in what format?
A. |
Yes. For this virtual conference, we will allow up to eight (8) pages in PDF format. |
Q. | Can a transcription of recorded “on-demand” sessions be available for the hearing impaired?
A. |
If a speaker can provide us with a transcription, then yes. |
Q. | Are there restrictions on the handouts? For example, should they have page numbers?
A. |
The formulation and composition of the handouts are up to the discretion of the presenter. |
Q. | Will the handouts be provided on the conference website and the mobile device app?
A. |
Yes. |
Q. | Can there be links to handouts available during the live session for attendees to have at their fingertips?
A. |
Yes, and it can be loaded up to 60 minutes prior to the live session. However we do not recommend this approach for two reasons: (1) the handouts will disappear from this option at the end of the hour; (2) it may distract the viewer from focusing on the presentation as they fumble for the handout. |
Q. | What resources are available to the session speakers for presentation tools?
A. |
The BigMarker.com platform for live sessions includes the ability for speakers to upload their PowerPoint presentations (in PDF format), as well as Video Clips, 60 minutes in advance, and there is a screen-share option as well. |
Q. | If the presenters use video clips, will there be an option for setting the sound for the video clips, and can it be set to use the sound from the presenter’s computer?
A. |
TBD — however, the recommended procedure is to preload the video clip into the BigMarker.com application and run the video clip through the platform. |
Q. | Who will be able to do the switching of the presenter/share screen during the live stream?
A. |
Either the presenter(s) or the moderator(s) can control the presentation materials, such as the PowerPoint presentation. |
Q. | Will there be standard slides to “bracket” the beginning and end of a presentation’s PowerPoint and provide some conference branding?
A. |
Yes. The slides are already available on our website (see the next question about how to find them) and are highly recommended. They include a spot for speakers to customize the name of the presentation, provide the speaker’s name, and even insert photos of the presenter(s). |
Q. | What is the direct URL link to the beginning and end slides?
A. |
The bracketing slides can be found at the bottom of the page with instructions for preparing material for Lecture-Library presentations (most of that page does NOT apply to live presentations, so don’t let the MP4 instructions confuse you as a live speaker) by clicking HERE. |
Q. | Can I restrict the registrants to viewing the MP4 on-demand and not allow them to download the session to their own computer?
A. |
Yes. We have set the default to “download” but can restrict the user from downloading when the speaker selects “OPT OUT” in the Speaker Service Center. |
Q. | If the speaker selects “OPT OUT”, can the speaker download the session themselves?
A. |
No. |
Q. | Does the BigMarker.com platform allow speakers to turn on recording of their own session during their live session?
A. |
Unknown. |
Q. | Will speakers receive an MP4 copy of their live session after the conference?
A. |
We do not yet know if it’s possible or whether we’ll have the volunteers step forward to do that. |
Q. | If speakers can receive an MP4 copy, can they determine whether the recording would be available in either 720p or 1080p format?
A. |
Unknown. We understand that there is some ability to set the quality, but the procedure is not known. |
Q. | Does the BigMarker.com platform handle PowerPoint presentations and/or video clips in a presentation?
A. |
Yes. It is recommended that presenters pre-load PowerPoint presentations or videos into their “room” to minimize the effects of having old computer equipment or slow Internet connections at their homes. However, it is also possible to simply share screens. |
Q. | Does the BigMarker.com platform support screensharing?
A. |
Yes. |
Q. | Why should a presenter consider uploading PowerPoint and video clips into the “room” rather than simply screen-sharing and running the presentation visuals and sound through their own computer?
A. |
Response time and quality of a presentation’s visuals and sound may vary by computer and Internet connection. BigMarker.com recommends uploading these pieces prior to a session and playing them from the BigMarker.com platform rather than from a home computer setup. |
