Addressing the Digital Engagement Gap
Our contact center was inundated with scheduling and other calls yet most patients were not engaging with our online self-scheduling tools. We deployed chat and advanced automation tools as a method to address this digital engagement gap. This resulted in a significant increase to new booked appointments without changing any other scheduling process, provider availability, or practice policies. We will show how we deployed chat, the changes we made to our contact center staffing model, and the results we achieved. Attendees will learn how to apply these insights to enhance patient experience and access in their practices.

Technology Driven Patient Access - A Case Study
COVID-19 showed us that we don’t have to accept the conventional wisdom on healthcare’s notoriously slow adoption of new technologies. Lessons learned provide insight for practice managers who are looking for ways to jump-start the adoption of meaningful technologies in healthcare delivery settings. Now, even as vaccines have rolled out and practices have re-opened their doors, usage of telehealth has increased by a factor of 38 compared to its pre-COVID baseline. Making Value-Based Principles Work for You and Your Practice
Orthopedic practices are being ranked and reviewed on factors that hold little to no value for potential patients and corporate payers; US News Best Orthopaedic Hospitals ranking includes 30-day survival, discharging patients to home, number of patients, infections, and rates of revision. CCAHP asks patients if the visit started on time, how much time the provider spent with them, and how many tests were ordered. Industry registries are being created to include similar data. All the while we know orthopedics is about Pain and Function - two things we as an industry don't effectively measure or communicate to potential customers. Our research also confirms additional concerns that patients have on their minds before they seek care; concerns of cost, time spent in treatment, and the immediacy of pain relief. In this session, we will present findings from our Patient Preference and Priority studies, demonstrate efficient and effective ways to engage patients on these domains, and provide evidence that these patient responses can reduce doctor/patient time spent in a clinic visit and ultimately lead to significant improvements in overall patient satisfaction. In addition, practices will now have the right data now for value-based reimbursement programs and the foundation for negotiations with payers and self-insured corporations. Attendees will leave with a step by step game plan for developing this expertise within their clinic.

You are not alone: Sharing solutions to address today’s challenges
Whether a single-physician practice or a large Integrated Delivery Network, practices across the nation face similar challenges. These range from denials due to registration errors and eligibility verification to the lack of reporting and analytics needed to identify financial trends. It is also a challenge to find where these gaps are, and thus opportunities to improve. Taking time away from day-to-day organizational issues to review processes and plan and implement changes is extremely difficult. The common theme heard from practice leaders is “we don’t know what we don’t know”. This session discusses the most common challenges organizations face when managing their revenue cycle, provides solutions and engages the audience to share how they have addressed some of these challenges themselves. The speaker will bring her field experience of consulting for over 250 practices in the past 5 years, and attendees will have the opportunity to discuss solutions real-time with their peers. During the session, attendees will take advantage of the time together to identify key processes to enhance back at their own practices. They will each create a “next month list” of items that can be addressed at a later time. This session will also cover the DMAIC (Define, Measure, Analyze, Improve, Control) improvement methodology to guide and track those efforts.

Benefit Planning: How to Maximize Tax Benefits and Avoid Trouble
Qualified retirement plans, such as profit-sharing plans, and 401(k)s, are powerful tools for present tax deductions and long-term retirement wealth, if properly maximized. They can also be the source of liability for the practice if not implemented and monitored in the right way. In addition, non-qualified plans for practice owners provide a terrific tax hedge and come with far fewer restrictions and no employee costs. Scripting a Successful Payment Assurance Program
Increased patient financial responsibility places financial pressure on medical practices. Joe will describe how Sierra Pacific Orthopedics implemented a card-on-file program. He will define a way to improve these problems once and for all. High deductible plans require practices to either gamble on back end collections, or gain the security of the multiple credit sources patients already have in their wallets when scheduling an appointment. The program will focus on scripting for staff, and the mechanics of implementing this process in your practice. Lastly, he will analyze the results of Sierra Pacific Orthopedics' implementation of this program.
Medical practices continue to struggle calculating the patient responsibility at the time of visit due to the wide range of services which might be needed to assess a new orthopedic condition, the level of E/M coding a physician will ultimately choose, and the lack of real-time interoperability with payers.
The presenter will walk attendees through Sierra Pacific Orthopedics' successful implementation of a card-on-file program, and show financial measures before and after implementation to support their success. He will focus his discussion on staff training and education, staff scripting and coaching, along with role playing activities to improve staff's ability to stay on script.
Throughout the session, the presenter will provide research and data supporting patient behavior when paying their portion before, after seeing the doctor, and after leaving the office. He will also provide trending from 2002 to present on the increase of deductibles, and increased patient responsibility. He will also provide data on patient's preference with regards to how they prefer to pay for goods and services.

Increasing the Bottom Line & Reducing Turnover with Employee Engagement
How an employee views themself in relationship to the company the work for can have a multitude of positive (or negative) effects in the organization. In this talk we'll take engagement out of the 'employee satisfaction' category and discuss the concrete, proven effects in can have on making a business more efficient, stable, and profitable. In addition to resetting some long-held beliefs around engagement, we will also discuss strategies that bring the maximum results without creating onerous policies, oversight, or programs. Effects of engagement that will be discussed include work task accountability, burn-out / turnover, patient experience, workplace conflicts, and employee development. With an increasingly challenging labor market and costs associated with turnover, making a deliberate effort to optimize engagement can result in a net reduction in not only turnover, but also onboarding time and overall inefficiency.

WE>ME: Building Bone and Joint Institute's company culture
Two years ago, our employee satisfaction survey results revealed that our employee engagement and morale were low. We had to brainstorm ways to engage our employees and improve employee satisfaction, while remaining budget friendly. We were in the throws of COVID, had furloughed half of our staff, and were facing uncertainty throughout the pandemic. Our leadership team met and brainstormed ideas to engage the staff once our furloughed staff returned to work.
In this interactive session, we will discuss ways that we planned and challenged our staff to be a part of the solution and not the problem. We were able to do fun activities (i.e. our BJIT Bash events), but we also hosted roundtable events and all-staff town hall meetings where our staff talked and our leadership and physicians listened. We also developed a clinic slogan- WE>ME. The goal of WE>ME is to focus on and harness the power of doing what is right for our BJIT team instead of what may seem right for you in that moment. WE>ME encouraged our staff to lift each other up and praise the day to day wins.
We will also look at some other simple, cost effective ways to engage your staff on a day to day basis.
